Plain-language summary of the personal data handled by the MIA Event Assistant event workspace, written for event managers who have to answer their own compliance teams.

What we hold

  • Workspace accounts: name, job title, work email, phone and organisation details you enter on your profile, used to identify you and to sign outgoing RFQs.
  • Event records: briefs, budgets, payments, schedules, risks, approvals and supporting documents you create.
  • Third-party contacts: supplier and approver contact details, and guest lists including dietary and accessibility notes where you choose to record them.

Why we hold it

  • To deliver the service you asked for: producing briefs, issuing supplier requests, tracking budgets and reporting on your event portfolio.
  • To keep an audit trail your organisation can rely on for internal governance and public-sector procurement requirements.
  • To send operational alerts about your own events — overdue milestones, expiring supplier documents and payment dates.

Special categories

  • Dietary requirements and accessibility needs can reveal health or belief information. Only capture what the event genuinely requires, tell guests why you are asking, and delete it once the event is closed out.
  • Guest lists should be removed or anonymised after the post-event wrap unless your organisation's retention policy requires otherwise.

Who can see it

  • Only people an owner has explicitly invited to your workspace, limited by their role (owner, editor or viewer).
  • Suppliers see only the RFQ content you send them — never your budget positions, other suppliers' quotes or your guest list.
  • We do not sell data, run advertising on it, or use it to train third-party AI models.

Retention and deletion

  • Event records are kept for as long as your workspace is active, so you can reference past events when planning new ones.
  • You can delete any event, guest, supplier or document at any time. Deletion removes the record from the live database; the activity log retains the fact that a change occurred, not the deleted content.
  • Ask us to close your workspace and we will delete its data on request.

Your rights

  • You can request access to, correction of, or deletion of personal data we hold about you, and object to processing.
  • Guests and suppliers should direct requests to the event organiser who collected their details; we support organisers in fulfilling them.
